Sponsor licence / Reporting changes
A pay cut or a new work location starts the Home Office clock
Most changes about a sponsored worker must be reported within 10 working days, and most changes to your organisation within 20. Borderless flags each one, sets its deadline and pre-fills the report, then reports it on the Sponsor Management System (SMS) for you. An IAA-regulated immigration adviser reviews every report first.

Sponsors reporting changes with Borderless

What has to be reported
Two deadlines, depending on who the change is about
Most changes about a sponsored worker must be reported within 10 working days. Most changes to your organisation have 20 working days from when you became aware of them.
Worker · 10 working days
Pay cut below the certificate
Any cut from the salary on the Certificate of Sponsorship (CoS), including fewer paid hours. Pay rises usually don’t need reporting.
Worker · 10 working days
Long absences
Unauthorised absence of more than 10 consecutive working days, or more than four weeks unpaid or on reduced pay in a calendar year.
Worker · 10 working days
A new work location
A change to the normal place of work, including a permanent move to remote working. A move to hybrid working isn’t reported.
Worker · 10 working days
Changes to the job
A new job title, new core duties or a promotion that doesn’t need a new visa application. Your adviser tells you which applies.
Worker · 10 working days
Leaving, or not starting
A resignation, dismissal, redundancy or contract ending early, or a worker who doesn’t start within 28 days of the expected date.
Sponsor · 20 working days
Changes to your organisation
A new address, branch or site, changes to Level 1 users, a merger, takeover or change of ownership, or a change in size.
Reported inside the deadline, with your approval
The change is spotted
Your team updates a salary, hours or a leaver in Borderless, or tells us about anything else.
The report is pre-filled
Halo, your compliance dashboard, flags that it needs reporting, sets the deadline in working days and fills in the details.
Your adviser reviews it
An IAA-regulated immigration adviser checks the wording and the dates before anything goes on the SMS.
We report it on the SMS
Once you approve, Borderless reports it on the SMS on your behalf and logs when it went in.

Why reports go in late
Reporting is rarely hard once someone knows about the change. The problem is usually that nobody connected to the licence heard about it in time.
01
News that stays local
A site manager agrees a move to York or a cut in hours, and the people who report to the Home Office hear about it weeks later.
02
Working days, not calendar days
Each clock counts working days, and some start after the event itself, such as an unauthorised absence, which is counted from its 10th day.
03
Absences that add up
Unpaid leave taken a few days at a time can pass the four-week limit for the year without one long absence to notice.

Questions we’re often asked
How long do we have to report a change?
Most changes about a sponsored worker must be reported within 10 working days of the change. Most changes to your organisation must be reported within 20 working days of you becoming aware of them. A few clocks start later, such as a worker who doesn’t start, which is counted from the end of the 28 days after their expected start date.
Do we need to report a pay rise?
Usually not. You report pay that drops below the salary on the worker’s certificate. For a Skilled Worker, your adviser first checks whether the cut needs a new certificate and visa application instead of a report.
Does a move to hybrid working need reporting?
No. A hybrid pattern or day-to-day changes to where someone works don’t need reporting. A change to their normal work location, or a permanent move to working from home, does.
Who reports the change on the SMS?
We do. Borderless reports the change on the SMS on your behalf. Your adviser reviews every report first, and nothing is reported until you approve it.
What about a new Authorising Officer or Key Contact?
Replacing either of them is done on the SMS, and it sits outside the usual 20 working day clock. Your adviser checks the new person is eligible and walks you through the change.
